Reserving a TPRD Park Shelter or Pavilion

Trails Park and Recreation District has 15 rentable shelters and pavilions throughout its boundaries. These structures are perfect for neighborhood picnics, graduation parties, birthday celebrations, and family reunions. We do require a permit for organized events that host 10 or more people – but don’t worry! Reserving and renting a shelter or pavilion is a simple process (and we’re always here to help). Follow along with this step-by-step guide on how to rent one of our park structures.

A bit of vocabulary before we dive in. 

  • Pavilion: A larger, more substantial picnic structure, typically with the bathrooms attached. A pavilion can host up to 64 people, though larger groups often use the grassy areas around the pavilion as well. We currently have a pavilion at Piney Creek Hollow Park and Spring Creek Park. 
  • Shelter: A shade structure with four columns, a roof, and a couple of picnic tables. Depending on the size, these picnic shelters can host up to 24 people

There are three different ways you can rent a pavilion or shelter, though all of our rentals (and program purchases) happen through Amilia, our registration software. If you haven’t used this platform before, you will need to make an account to finalize and confirm your rental. 

How to Make an Amilia Account

To make an Amilia account, click “create a new account” and enter a valid email, unique password, and your name. Once completed, please click on your email in the top right corner of Amilia and click “my account.”  Navigate to “members” and add your address and contact information. Your address is important to ensure you get the correct rates for both rentals and program registrations; our staff will need to manually confirm that you live in-district before any discounts can be applied to your account. Please call 303 269-8415 for address verification if you are a District resident. 

Shelter or Pavilion Pricing

Please note that the price listed when you’re first looking at a pavilion or shelter on Amilia may not be what you end up paying. The software requires that we list the highest price and then apply a series of coupons or discounts to the purchase for those who are in-district. 

Shelter Rentals Fees

  • District Resident (Individual): $10/hr
  • Non-District (Individual): $30/hr
  • District Resident (Group): $35/hr
  • Non-District (Group): $60/hr

Pavilion Rentals Fees

  • District Resident (Individual): $20/hr
  • Non-District (Individual): $40/hr
  • District Resident (Group): $45/hr
  • Non-District (Group): $70/hr

Shelter or Pavilion Hours

Park shelters and pavilions are available to rent starting at 8:30 in the morning until 8:30 pm. You are not allowed to remain on park property outside of park hours: 5:00 am – 10:00 pm.

How To Reserve a Park Shelter or Pavilion

Way 1: Rentals on the TPRD Website

Navigate to our Pavilion & Shelter page by hovering over Parks & Trails > Rentals in the menu (or click here). Here you’ll be able to see our rules for shelter rentals and a list featuring of all of the available facility bookings (this only works if you’re on a desktop; skip to Way 2 if you’re on mobile). Find and click on the pavilion or shelter listing to learn more about it and find which one you’re interested in. 

Once you’ve determined the structure you’re wanting to rent, use the right side of the page to determine duration (2 hours is the minimum), date, and time. Time slots depend on availability, so if you don’t see a particular time, chances are it’s already been reserved for that slot. Please also note that the duration of your rental includes set up and take-down time for your event. 

The website will then prompt you to sign into your Amilia account (see above for how to create an Amilia account). Confirm that the location, date, and times are correct for your event. Click “add to cart.” You will then have 30 minutes to complete the “checkout” process. 

You can now insert the corresponding discount codes (individuals vs groups and district vs non-district residents) provided on the listing page. These codes will not work if your Amilia account is unverified, so if it’s your first time using this software, please call or email us to confirm if you live in district boundaries. Once complete, click “checkout.”

You’ll then be prompted to state the purpose of the rental, give an estimated number of attendees, agree to some terms and conditions, and select an emergency contact. Once filled in, you can “continue my purchase.

Next you’ll be asked for payment information and a billing address. You’ll then click “make payment” which will take you to a confirmation screen. An email will be sent to you with your receipt – this will serve as your confirmation and rental permit. 

Way 2: Through the Amilia Software

You can navigate to our Amilia software by using this link or clicking Amilia under Register in our TPRD menu. Make sure you are within the Facility Bookings tab (see the red circle in the image) to be able to see all of our TPRD Park Shelters and Pavilions. Find and click on the listing to learn more about it and find which one you’re interested in. 

After selecting the desired structure for rental, utilize the right section of the page to specify the duration (with a minimum of 2 hours), date, and time. Availability of time slots varies; if a specific time is not visible, it likely means it has already been booked. Bear in mind that the rental duration encompasses both set up and teardown time for your event.

 

Upon confirmation of the location, date, and times for your event, the website will prompt you to log into your Amilia account (if you haven’t already). Verify the rental details and then click “add to cart.” You will then have a 30-minute window to complete the checkout process.

At this stage, you can input any applicable discount codes (based on whether you are an individual or part of a group, and whether you reside within the district) provided on the listing page. These codes will not be valid if your Amilia account is unverified. If this is your first time using the software, please contact us via phone or email to confirm your residency status. Once done, proceed to click “checkout.”

You will then be prompted to specify the purpose of the rental, provide an estimated count of attendees, agree to certain terms and conditions, and designate an emergency contact. Upon completing these fields, you may proceed by clicking “continue my purchase.”

Subsequently, you will be required to enter payment details and a billing address. Clicking “make payment” will lead you to a confirmation screen. A confirmation email containing your receipt will be sent to you, serving as both confirmation and rental permit.

Way 3: A Park's Page

Parks, under the Parks & Trails section of our website, has a listing of all of the current parks TPRD owns or operates (the list is at the bottom of the page); within a specific park’s page, you’ll be able to see a variety of information like park amenities, acreage, rules and regulations, field permit information, pictures, and information about that park’s shelter or pavilion. 

If you open the Shelter Rentals tab, it’ll show you that park’s shelter or pavilion, along with available date, times, and rental duration. This window will only work if you’re on a desktop; go back to Way 2 if you’re visiting our website on a mobile device. The website will then prompt you to log into Amilia to pick a time, date, and duration. 

Once you’ve logged in, you can verify the rental details and then click “add to cart.” Input any applicable discount codes provided on the listing page; these codes will not be valid if your Amilia account is unverified, so if this is your first time using the software, please contact us via phone or email to confirm your residency status. Once done, proceed to click “checkout.”
